Terms of Service

1. Acceptance of Terms

By accessing and using the Document Tracking System (hereinafter referred to as "the System"), you agree to be bound by these Terms of Service. If you do not agree with any part of these terms, you must not use the System.

Important: Continued use of the System constitutes acceptance of any future changes to these terms.

2. User Account and Security

You are responsible for maintaining the confidentiality of your account credentials. You agree to:

  • Not share your login credentials with any other person
  • Immediately report any unauthorized use of your account to support@palapag.gov.ph
  • Log out of your account after each session
  • Use strong passwords and update them regularly

The System Administrator reserves the right to suspend or terminate accounts that violate security policies.

3. User Responsibilities

As a user of the System, you agree to:

  • Use the System only for authorized Palapag LGU purposes
  • Provide accurate and complete information when creating documents
  • Maintain the confidentiality of sensitive information
  • Comply with all applicable laws and regulations
  • Report any system errors or security concerns promptly to support@palapag.gov.ph
  • Not attempt to bypass or circumvent system security measures

4. Prohibited Activities

The following activities are strictly prohibited:

  • Unauthorized access to other users' documents
  • Uploading malicious files, viruses, or harmful content
  • Attempting to disrupt or disable system functionality
  • Using automated scripts to access the System
  • Sharing confidential documents without proper authorization
  • Modifying or tampering with system data

5. Data Protection and Privacy

The System complies with the Data Privacy Act of 2012 (Republic Act No. 10173). We are committed to protecting your personal information. For detailed information, please refer to our Privacy Policy.

Your data is:

  • Collected only for legitimate government purposes
  • Processed in accordance with data protection principles
  • Stored securely with appropriate safeguards
  • Retained only as long as necessary

6. Intellectual Property

All content, features, and functionality of the System, including but not limited to text, graphics, logos, and software, are the property of Palapag LGU and are protected by intellectual property laws. You may not reproduce, distribute, or create derivative works without explicit permission.

7. System Availability

We strive to maintain 99.5% system availability during regular business hours (8:00 AM - 5:00 PM, Monday-Friday). Scheduled maintenance will be announced in advance. We are not liable for any damages resulting from system downtime or data loss.

8. Account Termination

Your account may be terminated or suspended for:

  • Violation of these Terms of Service
  • Security concerns or suspected unauthorized access
  • Employment termination or role change
  • Prolonged inactivity (90 days or more)
  • Failure to comply with organizational policies

9. Limitation of Liability

To the fullest extent permitted by law, Palapag LGU shall not be liable for any indirect, incidental, special, consequential, or punitive damages arising from your use of the System. The System is provided "as is" without warranties of any kind.

10. Modifications to Terms

We reserve the right to modify these terms at any time. Users will be notified of significant changes. Continued use of the System after changes constitutes acceptance of the modified terms.

11. Governing Law

These Terms shall be governed by and construed in accordance with the laws of the Republic of the Philippines. Any disputes arising from these terms shall be resolved in the appropriate courts of the Philippines.
